West Loop Chicago law firm is looking for a paralegal/legal secretary with strong typing and writing skills. 

A paralegal certificate is not required (or even preferred). 

Rather, we are seeking a candidate with exceptional secretarial qualities looking to grow into a paralegal position. 

 The position is full-time and may require some travel. Therefore, this position would not be ideal for someone still in school.


West Loop office seeks experienced legal secretary who desires paralegal position (no paralegal degree/certificate necessary). POSITION SUMMARY

Under general supervision, performs all administration and coordination activities related to contracts and invoices for the Security Department, including the maintenance of documentation for contracts, invoices, payments, and emergency services. Acts as liaison for Security contractors and various Authority departments, including the Procurement and Security Departments and ensures compliance with governing contractual policies. Interacts with end users to ensure services are rendered satisfactorily and documents (contracts, invoices, etc.) are received on time.

 

Qualifications

 

PRIMARY RESPONSIBILITIES

  • Assists management in the maintenance and review of contract specifications, invoicing, renewals, and other administrative monitoring of existing contracts.
    • Maintains all administrative support functions in managing service and contractor contracts, including maintaining all related documentation and files and prepares related reports.
    • Provides communication and coordination between vendors and Security Department staff, particularly with regard to ensuring vendor staff are trained and staff their assignments.
    • Oversees contract compliance with both internal policies and governing regulations. 
  • Reviews, submits for approval, and processes vendor invoices for payment.
    • Works with the Procurement Department to review and confirm compliance of all contract specifications.
    • Reviews invoices and submits to management for approval.
    • Coordinates documentation and processing of invoice payments in Authority business systems and other tracking systems.
    • Processes all check requests, including emergency requests, to ensure timely and efficient payments by the Authority.
    • Liaises with contractors to ensure proper adherence to Authority payment processes and requirements.
  • Coordinates and communicates with various internal and external entities on behalf of the Security Department.
    • Maintains database of information released from the Security Department to various internal and external entities.
    • Retrieves and forwards security camera footage for further review and documentation.
    • Communicates between Security and Procurement Departments on compliance and record keeping.
  • Performs related duties as assigned.

Annual Giving Coordinator- SOS Children's Village

 Salary Range:

$42,000.00 To $45,000.00 Annually

BASIC FUNCTIONS: 

 

Coordinates Annual Giving Program and provides clerical, administrative, fundraising, and database support for the Director of Development and Development Department. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides administrative and clerical support to Development team, heavy emphasis on data entry/manipulation, with additional responsibilities in communications via telephone and email.
  • Produce daily batches/reports to submit fundraising revenue to Finance Dept.
  • Assist in the development of all acknowledgement letters including writing, formatting, and processing. 
  • Assists with the preparation of solicitation kits, meeting agenda materials, conference calls, logistical arrangements and minutes for committee meetings. 
  • Assist with maintaining databases of donor records including contact information, actions, notes, and calendar items to track Development’s work. 
  • Organizes and maintains department files.
  • Assist with research of donors and prospects.
  • Document and keep up-to-date all processes and procedures for Development team’s reference.
  • Develop, in conjunction with the Director of Development, the Annual Giving Solicitation plan each year; report on the progress of that plan. 
  • Coordinates all elements of the annual giving program including pulling mailing lists, drafting solicitation letters, monitoring online giving process, email solicitations, coordinates recurring giving club, and analyzing data and segments.
  • Work with vendors as appropriate for direct mailing, online giving, online events, etc. 
  • Produce letters and envelopes for mass mailings including solicitations and event mailing lists. 
  • Produce electronic mailing lists using queries in Raiser’s Edge and email solicitations using Blackbaud’s Online Express email tool. 
  • Work with Development teams to track events, guests, donations, ticket sales, in-kind donors, etc., in addition to ensure proper acknowledgments are sent. 
  • Make donor calls and solicit gifts for annual giving, holiday giving, special events, and special projects when appropriate. 
  • Assist with special projects including graduation party, school supply drive, holiday giving program, and corporate partner events. 
  • Interact with SOS Illinois Village staff and foster parents to fulfill their needs and event participation.
  • Using your own vehicle to drive throughout the city and suburban Chicagoland area for the acquisition of large bundles of donated items followed by organizing and distributing to specific sites and/or Village homes. 
  • Perform other duties as assigned. 

 

 MINIMUM QUALIFICATIONS

  1. Commitment to SOS Children’s Villages Illinois philosophy and mission.
  2. Bachelor’s degree required and three-four years’ experience working in a non-profit fundraising office preferred in administrative and database management, or equivalent combination of experience and education may be considered. 
  3. Experience in Raiser's Edge required. 
  4. Demonstrated organizational and communication skills. 
  5. Excellent skill and understanding of computer and constituent software required. 
  6. Ability to work independently and within a team environment. 
  7. Willingness and ability to travel and to work nights and weekends, as required. 
  8. Ability to work cooperatively to achieve common goals; support cooperation, collaboration and the sharing of information while providing the best quality product available and continuously upgrade standards to maintain quality, in all areas of responsibility.

Undergraduate Admissions Counselor- Moody Bible Institute

Under the supervision of the Associate Dean of Undergraduate Admissions, the Undergraduate Admissions Counselor is responsible for the management of a designated caseload of prospective students. The primary goal of Counselor is moving prospective students through the admission process for the Undergraduate School to achieve the MBI enrollment goals for all academic programs and venues.

Part Time Admissions Counselor- Moody Bible Institute

Under the direct supervision of the Associate Dean of Admissions in Chicago and secondary supervision of the Associate Dean of Student Services in Spokane, the Admissions Counselor/Recruiter will implement the recruitment and admissions program for the Spokane Aviation campus to achieve the enrollment goals of Moody Bible Institute and assist the Student Services office in Spokane to meet its service goals and objectives.

Responsible for making trip arrangements and sending pre-trip/conference mailings, in conjunction with the Northwest Admissions counselor in Chicago.
  • Develop professional relationships with key personnel of selected area high schools and area churches for the purpose of identifying and cultivating quality candidates for Moody’s Aviation programs.
  • Assist in distributing promotional material, email campaigns, and other recruitment collateral material; keeping Spokane promotional material and email up to date.
  • Performs other duties as assigned.
